About the Role
We are seeking a dynamic and highly organised Business Coordinator & Personal Assistant to support our Founder and Senior Leadership Team. This is a unique hybrid role that combines personal assistant duties, business coordination, operations organisation, and high-level executive support. You'll be the engine behind the scenes handling schedules, managing priorities, organising events, liaising with key stakeholders, and making sure everything runs smoothly and efficiently across both personal and business domains.
Key Responsibilities
Executive Support & PA Tasks:
- Manage calendar, travel, and day-to-day logistics for the Founder and senior managers
- Act as the gatekeeper and first point of contact for internal and external communications
- Prepare briefings, presentations, and reports as required
- Organise personal and professional tasks, ensuring priorities are met
Business Coordination:
- Work closely with cross-functional teams to track deliverables and support operational alignment
- Assist in managing internal projects, timelines, and follow-ups
- Organise documentation, meetings, and communications across departments
Event & Engagement Management:
- Plan and coordinate company events, internal sessions, off-sites, and client-facing engagements
- Assist with branding, promotional events, and represent the Founder where needed
- Ensure smooth execution of executive visits, investor meetings, and public appearances
Leadership Support:
- Confidently manage up, suggest improvements, and help streamline operations
- Be a proactive thinker – foresee issues, suggest solutions, and take initiative
- Handle confidential matters with discretion
Required Skills
- Minimum 3-5 years experience in an Executive Assistant, Business Analyst, or similar coordination role
- Strong organisational and multitasking skills
- Confident, proactive communicator (written and verbal)
- Fluent in English; Arabic is a bonus
- Event planning or marketing experience is a plus
- Tech-savvy – familiarity with tools like Google Workspace, Notion, Slack, Trello, etc.
- Must be currently residing in the Dubai and able to work without a visa for the 3-month probation period
